Information we collect automatically
When you visit our website, our hosting provider records standard technical information such as your IP address, browser type and the pages you visit, to keep the website secure and working. We do not use advertising or analytics cookies (see section 9).
Information from others
We may receive information about you from the other side of a transaction (for example, a buyer's or seller's solicitor or agent), from identity verification services and from public sources such as HM Land Registry.
Sensitive information
We don't ask for sensitive information such as your religion or health. If you choose to tell us something sensitive (for example, that you'd like Sharia-compliant finance), we'll use it only to provide the service you've asked for and only with your explicit consent.
3. How we use your information and why
UK data protection law requires a lawful basis for each use of your information. These are ours:
| What we use it for | Lawful basis |
|---|---|
| Replying to your enquiry and arranging a call or valuation | Taking steps at your request before entering a contract, and our legitimate interest in responding to enquiries |
| Giving you our free buying guide when you ask for it, and helping if you then get in touch about buying in the UK | Our legitimate interest in providing the guide you asked for and responding to you |
| Providing our selling or buying service | Performance of our contract with you |
| Identity, anti-money laundering and sanctions checks | Legal obligation (Money Laundering Regulations 2017) |
| Passing on offers and progressing a sale or purchase with the other parties | Performance of our contract, and legal obligations under estate agency law |
| Keeping business, tax and accounting records | Legal obligation |
| Handling complaints and protecting our legal rights | Legitimate interests and legal obligation |
| Sending you news about properties or our services | Your consent, which you can withdraw at any time |
We never sell your personal information.
4. Who we share it with
We share only what's needed, and only with:
- Parties to your transaction: buyers, sellers, their solicitors and agents, so a sale or purchase can progress.
- Professionals you choose to use: solicitors, surveyors, finance providers and letting or management agents we introduce you to, with your agreement.
- Our partners: The Property Experts, our partner for advertising homes on property portals such as Rightmove and Zoopla (portals receive property details and photographs, not your contact details), and local partners who carry out viewings on our behalf where we tell you so.
- Service providers: website hosting and forms (Netlify), email and business software (Microsoft), messaging (WhatsApp, provided by Meta) and identity verification services. They act on our instructions and must keep your information secure.
- Authorities: HMRC, the National Crime Agency, the police, regulators and the Property Redress Scheme, where the law requires it or to deal with a complaint.
5. International transfers
Some of our service providers store information outside the UK, mainly in the United States. Where they do, the transfer is protected by UK-approved safeguards, such as the UK International Data Transfer Agreement or Addendum, or the UK–US data bridge. If you live outside the UK (for example, in the Gulf), we'll send information to you there so we can provide our service.
6. How long we keep it
| Information | How long |
|---|---|
| Enquiries that don't lead to an instruction | Up to 2 years after our last contact |
| Guide requests | Up to 2 years after your request, or our last contact if later |
| Client and transaction records | 6 years after the transaction ends |
| Identity and anti-money laundering records | 5 years after our business relationship ends, as the law requires |
| Marketing preferences | Until you withdraw your consent |
After these periods we securely delete or anonymise your information.
7. Your rights
You have the right to:
- ask for a copy of the information we hold about you
- ask us to correct information that's wrong or incomplete
- ask us to delete your information
- ask us to limit how we use it, or object to our using it
- ask for your information in a format you can give to another organisation
- withdraw your consent at any time, where we rely on it
Some rights have limits. For example, we must keep anti-money laundering records for the period the law sets. To use any of your rights, contact us. It's free, and we'll reply within one month.
8. Keeping your information secure
We use secure, access-controlled systems and only share information with people who need it. If a data breach is likely to put you at risk, we'll tell you and the ICO as the law requires.
9. Cookies and our website
Our website doesn't set advertising, tracking or analytics cookies. Our booking forms are processed by our hosting provider, Netlify, and sent to us by email. Our fonts are stored on our own website, so displaying them doesn't send any of your information to a third party. While you browse, your browser keeps a single temporary note that you've already seen our loading screen, so it isn't shown again on every page; it contains no personal information and is deleted when you close the tab. Links to other websites, such as property portals, are covered by those websites' own privacy policies.
10. Complaints
If you're unhappy with how we've used your information, please contact us first so we can put it right. You also have the right to complain to the Information Commissioner's Office: ico.org.uk/make-a-complaint or 0303 123 1113.
11. Changes to this policy
We may update this policy from time to time. The date at the top shows when it last changed. If we make a significant change, we'll tell our clients directly.
